Yes. The integration uses participants’ Outlook calendar availability, configured working hours, and time zones to suggest suitable meeting times. As a result, users can compare available slots and schedule a meeting without moving repeatedly between Jira and Outlook. However, availability depends on the applicable Microsoft 365 calendar permissions.

Yes. Open the meeting in Outlook and use the Outlook add-in to add it to an existing Jira work item. The meeting details will then appear in the related meetings panel in Jira, making the information accessible to users with the required permissions. However, recurring meetings cannot currently be linked to existing Jira work items.

Yes. Jira administrators can configure meeting Presets with predefined titles, descriptions, attendees, dates, permissions, response options, and built-in automations. Presets are useful for recurring scenarios such as project reviews, incident calls, support appointments, or stakeholder meetings.

In addition, Jira Automation can create an Outlook meeting when a defined Jira event occurs. Attendees, dates, and meeting content can be populated from Jira fields. Therefore, teams can standardize meeting workflows and reduce the manual effort required to create each invitation.

Yes. For internal meetings, agents can use Outlook meetings for Jira to schedule appointments based on participants’ calendar availability. For customer-facing appointments, Microsoft Bookings lets customers choose from predefined time slots based on the service team’s availability.

Administrators can define at which stage of the JSM workflow the booking option becomes available. Customers can then receive the booking link through a Teams customer chat, a personal Teams notification, or a visible JSM comment. Once scheduled, the meeting details are documented in the relevant Jira Service Management request and remain accessible from Microsoft Teams and Outlook. As a result, teams can reduce scheduling back-and-forth while keeping the appointment connected to the request.

The right approach depends on the organization’s service workflow. However, for customer-facing appointments, we generally recommend self-service scheduling with Microsoft Bookings because customers can choose a suitable time without repeated coordination.

Install Microsoft 365 for Jira from the Atlassian Marketplace and enable the meetings feature and configure Presets if desired. Users then sign in with their Microsoft 365 accounts, while a Microsoft administrator may need to approve the relevant calendar and meeting permissions. The Outlook add-in can be added additionally when users want to create Jira work items from meetings in Outlook.
